How it works

From a recorded gift to a filed donor statement.

ReceiptDesk keeps the whole acknowledgment workflow in one place, so staff always know what was sent and when.

1

Record or import a gift

Add gifts manually with amount, date, method, campaign, and fund, or upload a CSV export from your payment tool. Column mapping and confidence-scored donor matching help staff review before anything is applied.

  • Manual gift entry
  • CSV import with column mapping
  • Suggested donor matches for staff approval
2

Generate an organization-branded receipt

ReceiptDesk builds a numbered receipt from your template using your legal name, address, EIN or registration number, signatory, and acknowledgment wording. The receipt details are captured at the moment of generation and stay fixed.

  • Unique receipt number per organization
  • Fixed record once generated
  • Corrections by voiding and reissuing
3

Send a secure PDF email link

The donor receives a branded email with the receipt number, amount, gift date, and a time-limited download button. Receipt files stay in private storage — the email never exposes the file itself.

  • Time-limited secure download links
  • Optional staff note
  • Re-send when a donor asks again
4

Generate donor statements at year end

Select a donor and a calendar year to produce an annual giving statement with the gift count, total, and an itemized table. Statements are stored privately and downloaded or emailed after staff confirmation.

  • Per-donor annual statements
  • Itemized gift table
  • Staff-confirmed sending

Who can do what

Staff access is role-based. Owners and admins manage settings and the team; finance and fundraising roles can generate, send, re-send, and void receipts; viewers have read-only access. Receipt actions are recorded in an audit history.
